A sample is not a courtesy. It is the last cheap opportunity to find a dimension, a material or a finish that does not match the drawing. Treating it as a formality is how a container of wrong parts gets made.
What the sample must demonstrate
DIMENSIONAL CONFORMANCE against the drawing on the features that matter: thread gauge fit, critical lengths, seat angles, hole positions. The sample report should state measured values, not "OK".

MATERIAL AND CLASS: heat number, chemical analysis and hardness of the sample batch. This is where the factory commits to a material, and where a substitution is cheapest to catch.
FINISH: coating type and measured thickness, plus thread fit after coating. Coating is frequently the last step, so a sample taken before coating proves nothing about assembly.
FUNCTION: for kits, the sample must be assembled — rod, cone, nut, anchor — so interface problems appear now rather than on site.
PACKING: a sample of the intended packing, or at least a marked unit, so marking and structure can be agreed before the run.
Running an approval that binds
- Sign and date the sample, or photograph it against the drawing with a scale visible, and keep the record.
- State on the approval that the approved sample defines the standard for the production run and that deviations require written re-approval.
- Keep one approved sample at the factory and one at the buyer. The buyer's copy resolves arguments; the factory's copy prevents "we thought you meant this".
- Record any accepted deviation explicitly — "thread length 245 mm accepted" — with the drawing revision it applies to. Verbal acceptance becomes a dispute later.
- Tie production lead time to the approval date, otherwise the sample cycle quietly consumes the production window.
Common ways approvals break down
Sample approved before coating, production coated, threads no longer assemble. Fix: approve after coating, or state the assembly requirement with coating applied.
Sample made on a CNC lathe, production from a different process, dimensions drift. Fix: the sample must come from the production process, not a toolroom one-off.
Drawing revised after sampling without re-approval. Fix: revision control on the drawing, and a rule that any revision restarts the sample step for affected features.
Sample accepted verbally by a third party on site. Fix: one approval channel, in writing, with the buyer's name on it.
Cost reality
Sampling adds days and usually a sample charge that is often credited against the order. The alternative is discovering a dimensional error after the run: rework, air freight to recover schedule, or a rejected shipment. Sampling is the cheaper path nearly every time.
